Privacy Policy
Last updated 07-10-2026
Skoon Energy takes the protection of your personal data seriously. This privacy policy explains which personal data we process, why we do so, on which legal basis, how long we keep it, with whom we share it and which rights you have. We process personal data in accordance with the General Data Protection Regulation (GDPR, in Dutch: AVG), the Dutch GDPR Implementation Act (UAVG) and the Dutch Telecommunications Act (Telecommunicatiewet).
1. Who is responsible for your data
The controller for the processing of personal data described in this policy is Skoon Energy B.V. ("Skoon", "we", "us" or "our"), a private limited company with its registered seat in The Hague, its office at Weena 690, 3012 CN Rotterdam, the Netherlands, and registered with the Dutch Chamber of Commerce (KvK) under number 70507813.
For all questions about privacy or to exercise your rights, you can contact us at info@skoon.world or by post at the address above, for the attention of "Privacy".
2. Our websites and applications
This policy applies to all websites and applications of Skoon:
- our website skoon.world (the "Website"), see section 3;
- Skoon Account (account.skoon.world and login.skoon.world), the account you use to log in to all our applications, see section 4;
- Skoon Sharing (skoon.world/marketplace), our marketplace for clean mobile energy, see section 5;
- Skoon Suite (suite.skoon.world), our software for companies that rent out energy systems, see section 6;
- Skoon Tools (tools.skoon.world), including the Decision Tool, see section 7.
It also applies to personal data of people who contact us, contact persons at our (prospective) customers, suppliers and partners, and recipients of our newsletters.
In our applications we are in most cases the controller. There is one important exception: companies that use Skoon Suite (or Skoon Tools on behalf of their customers) record data about their own customers, contact persons and suppliers. For that data the company using our software is the controller and we act as its processor, under a data processing agreement. If your data is recorded by such a company, please contact that company first to exercise your rights. See section 6.
We only process personal data when we have a legal basis for it under Article 6 GDPR. Sections 3 to 7 show, per purpose, which data we use, the legal basis and how long we keep it. Where we rely on legitimate interest, we have balanced our interests against your privacy interests. You can ask us for more information about this balancing test and you can always object (see section 13).
We do not intentionally process special categories of personal data (such as data about health, religion or political opinions) or criminal records data. Please do not enter such data in our forms, messages or free text fields.

5. Skoon Sharing (marketplace)
Skoon Sharing (skoon.world/marketplace) is our marketplace where companies that need clean mobile energy ("Customers") find, request and book energy systems from companies that offer them ("Providers"). You can browse the marketplace, ask questions and request a proposal without an account. For bookings, proposals and messages you need a Skoon account.
| Purpose | Personal data | Legal basis | Retention period |
|---|---|---|---|
| Showing energy systems near you and finding addresses | The location of your device (only if you allow this in your browser) and addresses or places you search for | Your consent via your browser's location permission (Art. 6(1)(a) GDPR); for address searches, steps at your request (Art. 6(1)(b) GDPR) | Your location is kept on your own device for 3 hours. We use it only to calculate distances and look up addresses, and do not store it on our servers |
| Answering your question or request for information about energy systems | Name, email address, phone number (optional), your message and the energy systems it concerns | Steps prior to entering into a contract at your request (Art. 6(1)(b) GDPR) | Up to 2 years after our last contact, unless this leads to an agreement |

Sharing between Customers and Providers
When you request a proposal, we share your request (your needs, the period and the delivery location) with Providers that may be able to offer a solution. We only share your contact details with a Provider once you have created an account, and only in the way you allowed (email and/or phone). When you book or accept a proposal, we share your name, company, contact details and delivery details with the Provider concerned, so it can deliver. In messages, Customers and Providers see each other's names and companies. The Provider is responsible for its own use of your data.
The map in the marketplace uses Google Maps. We only load Google Maps in your browser after you have accepted functional cookies; your browser then connects to Google, which receives data such as your IP address. Address suggestions and distances are always looked up via our own server, so Google does not receive your IP address for those.
6. Skoon Suite
Skoon Suite (suite.skoon.world) is software for companies that rent out energy systems ("Providers") to manage their fleet, bookings, planning, quotes, invoices and monitoring.
Skoon as controller: users of Skoon Suite
| Purpose | Personal data | Legal basis | Retention period |
|---|---|---|---|
| Providing Skoon Suite to your company and to you as a user | Your Skoon account data (see section 4), your role, the actions you take (such as notes, documents and changes, with your name and the time), notification settings and recent searches | Performance of the contract with your employer, and our legitimate interest in providing the service to its users (Art. 6(1)(b) and (f) GDPR) | As long as your account exists, and for actions as long as the record they belong to exists |
| Messages with Customers via Skoon Sharing | See section 5 | Performance of a contract (Art. 6(1)(b) GDPR) | See section 5 |
| Support, service emails and handling requests to change monitoring systems | Name, email address (or username), company, the content of your question and the energy systems it concerns | Performance of a contract (Art. 6(1)(b) GDPR) | Up to 2 years after the request has been handled |
| Analysing how Skoon Suite is used, and asking for feedback in short surveys | See section 9. After you accept analytics cookies, PostHog links your use to your email address, name and company | Your consent (Art. 6(1)(a) GDPR); without consent cookieless measurement based on legitimate interest (Art. 6(1)(f) GDPR) | Up to 7 years |
Skoon as processor: data that Providers record
Providers use Skoon Suite to record data about their own customers, contact persons, site contacts, operations contacts and suppliers, such as names, email addresses, phone numbers, company details, delivery and return addresses, bookings, quotes, invoices, documents, notes and the email addresses of people who receive monitoring alerts. For this data the Provider is the controller and we only process it on the Provider's instructions, under a data processing agreement. The Provider determines how long this data is kept. If you want to exercise your rights regarding this data, please contact the Provider. If we receive your request, we will forward it to the Provider and help them handle it.
To make this data quickly searchable, we store a search index with Algolia. Energy systems connected to our monitoring send technical data and their GPS location, which we show to the Provider.
Shared booking pages
Providers can share information about a booking with others via a link, for example with their customer. Anyone who has the link can see what the Provider shares, such as the name, phone number and email address of the operational contact person, the location of the energy system on a map and monitoring data. The Provider decides whether and with whom to share a link.
Maps and address suggestions in Skoon Suite use Google Maps. We only load Google Maps after you have accepted cookies; your browser then connects to Google, which receives data such as your IP address. Without that consent, maps and address suggestions are not available.
7. Skoon Tools
Skoon Tools (tools.skoon.world) contains tools such as the Decision Tool, with which you can simulate energy projects and compare solutions. You need a Skoon account to use them. Results can be shared with others via a link. A simplified version of the Decision Tool can be embedded on other websites; that version does not ask for personal data.
| Purpose | Personal data | Legal basis | Retention period |
|---|---|---|---|
| Registering for Skoon Tools and starting your trial | First and last name, email address, company name, phone number, country and preferred language | Performance of a contract (Art. 6(1)(b) GDPR) | As long as your account exists |
| Informing our sales team about new trial users, so we can offer help | Name and email address | Legitimate interest (Art. 6(1)(f) GDPR): supporting new users | Up to 2 years |
| Creating projects and simulations | Project title and description, application, period, working hours, energy profiles and your preferences | Performance of a contract (Art. 6(1)(b) GDPR) | As long as your account exists, or until you delete the project |
| Uploading energy data, such as meter readings | The contents and file name of the files you upload | Performance of a contract (Art. 6(1)(b) GDPR) | Until you delete the file, the project or your account |
| Automatically recognising and converting the format of uploaded files with AI (only if you choose to use this function) | The full contents of the uploaded file | Performance of a contract (Art. 6(1)(b) GDPR) | The file is deleted from the AI service as soon as the conversion has finished or failed; the result is stored with your project |
| Sharing projects and reports via a link | The contents of the project and the name, email address and phone number of the Skoon contact person for the project | Performance of a contract (Art. 6(1)(b) GDPR); for our contact persons, legitimate interest (Art. 6(1)(f) GDPR) | Until the project is deleted |
| Analysing how Skoon Tools is used | See section 9. After you accept analytics cookies, PostHog links your use to your email address and name | Your consent (Art. 6(1)(a) GDPR); without consent cookieless measurement based on legitimate interest (Art. 6(1)(f) GDPR) | Up to 7 years |
For the AI conversion we use Azure OpenAI in Azure AI Foundry, a service of Microsoft that runs in a data centre in the EU. Microsoft does not use the files to train its AI models. The AI only converts the format of your file; it does not make decisions about you. Do not upload files containing data about identifiable people if this is not needed for your project.
When you share a project or report via a link, anyone who has the link can see it. Only share links with people who may see the information.
8. Where we obtain your data
In most cases we receive personal data directly from you, for example when you create an account, fill in a form, send us a message or sign an agreement. In some cases we receive data from other sources:
- from your employer or a colleague, for example when you are invited to a company account or are the contact person for a company we work with;
- from other users of our applications, for example when a Customer or Provider sends you a message, or when a Provider records your details in Skoon Suite;
- from public sources, such as the Dutch trade register (KvK), company websites, LinkedIn and the public list of approved CSPs published by TenneT;
- from business partners or contacts who refer you to us.
Providing personal data to us is not a legal requirement. Some data is needed to enter into or perform an agreement, for example your email address to create an account. If you do not provide that data, we cannot offer you the service concerned.
9. Cookies and similar technologies
Our Website and applications use cookies and similar technologies (such as local storage, pixels and scripts). A cookie is a small text file that is stored on your device when you visit a website.
- Functional cookies and storage are necessary for our Website and applications to work, for example to keep you logged in or remember your language choice. These do not require consent.
- Analytics cookies help us understand how visitors use our Website and applications so we can improve them.
- Marketing cookies allow us and our advertising partners to measure the effect of our campaigns and to show relevant ads on other websites and platforms.
- Embedded content from third parties, such as YouTube videos, may place cookies when the content is loaded. We only load such content after you click to play it.
We only place analytics cookies and marketing cookies after you have given your consent. On the Website and in Skoon Sharing you make your choice in the cookie banner provided by CookieConfirm. In Skoon Account, Skoon Suite and Skoon Tools we ask for your choice after you log in. You can change or withdraw your consent at any time via the cookie settings on the Website or via "cookie settings" in the account menu of the application. Withdrawing consent does not affect the lawfulness of processing before the withdrawal. You can also delete cookies via your browser settings.
If you do not consent to analytics cookies, we still measure the use of our Website and applications with PostHog in a cookieless mode. In that mode nothing is stored on or read from your device for analytics purposes, and visitors cannot be recognised across days. Session recordings are only made after you have consented to analytics cookies.
Embedded YouTube videos are replaced by a placeholder: no data is sent to YouTube until you click to play the video, after which the video loads in YouTube's privacy-enhanced mode (youtube-nocookie.com).
If you consent to marketing cookies and submit a form on the Website, a hashed version of your email address is shared with Google Ads to measure which ads led to the submission (enhanced conversions). Google uses this only to match conversions and does not receive your email address in readable form.

10. Who we share your data with
We never sell your personal data. We only share personal data with third parties when this is necessary for the purposes described in this policy:
- Processors: service providers that process personal data on our behalf and only on our instructions. These include providers of hosting, cloud, communication and AI services (Microsoft Azure, data centres in the EU), login and account security (Auth0 by Okta), email delivery and newsletters (Mailchimp and Mailchimp Transactional, Lettermint), search (Algolia, Elastic), maps and addresses (Google Maps), image storage (ImageKit), analytics and the contact form on the Website (PostHog, data stored in the EU), customer administration (Odoo), internal communication (Slack), consent management (CookieConfirm), and IT support. We have concluded a data processing agreement with each processor as required by Article 28 GDPR, which obliges them to keep your data secure and confidential.
- Other users of our applications: Customers and Providers in Skoon Sharing, as described in section 5, and people with whom you or a Provider share a link, as described in sections 6 and 7.
- Independent controllers: parties that determine for themselves how they process data, such as advertising platforms (when you have given consent), banks, insurers, accountants, lawyers and other advisers.
- Authorities: supervisory authorities, the tax authorities, police or courts, when we are legally required to do so.
A complete and up-to-date list of the subprocessors we use is available on request. You can request this list by emailing info@skoon.world.
11. Transfers outside the European Economic Area
We aim to store and process personal data within the European Economic Area (EEA). Some of our service providers, or their group companies, are located outside the EEA, for example in the United States. When personal data is transferred outside the EEA, we ensure an adequate level of protection by using one of the safeguards in Chapter V of the GDPR:
- an adequacy decision of the European Commission, such as the EU-US Data Privacy Framework for companies certified under that framework; or
- the Standard Contractual Clauses approved by the European Commission, combined with additional measures where necessary.
You can request more information about these safeguards, or a copy of them, via the contact details in section 1.
12. How we protect your data
We take appropriate technical and organisational measures to protect personal data against loss, unauthorised access and any other form of unlawful processing, taking into account the state of the art and the risks involved. These measures include encrypted connections (TLS), verified email addresses for access to our applications, access control based on the need-to-know principle and on the roles within a company account, secure storage of secrets, separated networks for our services, regular updates of our systems and confidentiality obligations for our employees and processors.
If a data breach occurs that poses a risk to your rights and freedoms, we will report it to the Dutch Data Protection Authority within 72 hours. If the breach is likely to result in a high risk to you, we will also inform you without undue delay.
13. Your rights
Under the GDPR you have the following rights:
- Right of access: you can ask which personal data we process about you and receive a copy.
- Right to rectification: you can ask us to correct or complete incorrect or incomplete data. You can change most of your account data yourself at account.skoon.world.
- Right to erasure: you can ask us to delete your data, including your Skoon account, unless we are legally required to keep it.
- Right to restriction: you can ask us to temporarily limit the processing of your data, for example while we assess a request for rectification.
- Right to data portability: you can ask us to provide data you have given us, and that we process based on consent or a contract, in a structured, commonly used and machine-readable format, or to transfer it to another party.
- Right to object: you can object at any time to processing based on our legitimate interest, on grounds relating to your particular situation. You can always object to direct marketing, without giving a reason, after which we will stop using your data for that purpose. Every marketing email contains an unsubscribe link.
- Right to withdraw consent: where processing is based on your consent, you can withdraw it at any time. This does not affect the lawfulness of processing before the withdrawal.
- Rights related to automated decision-making: we do not make decisions about you based solely on automated processing, including profiling, that have legal effects or similarly significant effects for you.
To exercise your rights, send an email to info@skoon.world. We will respond within one month of receiving your request. If a request is complex or we receive many requests, we may extend this period by up to two further months; in that case we will let you know within the first month. Exercising your rights is free of charge. We may ask you for additional information to verify your identity, so that we do not disclose data to the wrong person. We will never ask for more information than necessary.
If your data was recorded in Skoon Suite by a Provider, that Provider is the controller (see section 6). Please send your request to the Provider. If you send it to us, we will forward it to the Provider.
14. Complaints
If you have a complaint about how we handle your personal data, please contact us first, so we can try to resolve it together. You also have the right to lodge a complaint with a supervisory authority. In the Netherlands this is the Dutch Data Protection Authority (Autoriteit Persoonsgegevens), see autoriteitpersoonsgegevens.nl. If you live or work in another EU member state, you may also contact the supervisory authority in that country.
15. Children
Our Website and applications are intended for businesses and are not aimed at children. We do not knowingly process personal data of persons under the age of 16. If you believe we have collected data from a child under 16 without the consent of a parent or guardian, please contact us and we will delete that data.
16. Links to other websites
Our Website and applications contain links to websites of third parties, such as Providers, grid operators and social media platforms. This privacy policy does not apply to those websites. We recommend that you read the privacy policy of every website you visit.
17. Changes to this privacy policy
We may update this privacy policy, for example when our services or the law change. The most recent version is always available on this page, and the date at the top shows when it was last updated. If we make significant changes, we will inform you actively, for example via a notice on the Website or in our applications, or by email if we have your email address. Where a change requires your consent, we will ask for it.
